Quick BI:Authorization Settings

Quick BI provides organization-level settings to control public access and collaborative authorization for data works. Permission administrators can centrally enable or disable authorization entry points for all workspaces and configure default permissions for data works.

Configure permissions for data works

Controls whether the Public and Authorizable options are available for data works in all workspaces within your organization, determining whether data works can be made public, shared, or collaboratively authorized.

  • If you select Can be authorized to all users in the organization, collaborative authorization can be granted to any member in the organization.

  • If you select Only users in the workspace can be authorized, collaborative authorization is restricted to members of the same workspace via the By User option.

Note

Data works include data portals, dashboards, spreadsheets, self-service data retrieval, ad hoc analysis, data displays, and data entry.

When you select Public and Authorizable, the Data works can be made public and Data works can be authorized options are added to the functional permissions.

  • Public: If selected, data works can be made public. This applies to dashboards, spreadsheets, self-service data retrieval, ad hoc analysis, data displays, and data entry.

  • Authorizable: If selected, data works can be authorized for collaboration. This applies to data portals, dashboards, spreadsheets, self-service data retrieval, ad hoc analysis, data displays, and data entry.

Set default permissions for workspace resources

Defines the default permissions for data works when a new workspace is created.

You can configure default authorization for data works (data portals, dashboards, spreadsheets, self-service data retrieval, ad hoc analysis, data displays, and data entry), datasets, and data sources.

Note

Changes to the default authorization for workspace resources only affect resources in workspaces created after the change.

  • View and export data works: You can set the default to either All workspace members or Report owner only.

    Determines whether the By default, data works can be viewed by all members in the workspace option is selected by default in the functional permissions when a new workspace is created.

  • Edit data works: You can set the default to either All workspace members (members with edit permissions on data works only) or Private.

    Determines the default value of the Edit permission in Collaborative Authorization for new data works created in the workspace.

    • If the default is Private, the Edit permission is set to private, meaning unauthorized users cannot edit.

    • If the default is All workspace members (members with edit permissions on data works only), all members in the workspace with edit permissions for data works can edit the data work.

  • Edit datasets: You can set the default to either All workspace members (members with edit permissions on datasets only) or Private.

    Determines the default value of the Edit permission in Collaborative Authorization for new datasets created in the workspace.

    • If the default is Private, the Edit permission is set to private, meaning unauthorized users cannot edit.

    • If the default is All workspace members (members with edit permissions on datasets only), members in the workspace with edit permissions for datasets can edit the dataset.

  • Use datasets: You can set the default to either All workspace members (members with use permissions on datasets only) or Specified members.

    Determines the default value of the Use permission in Collaborative Authorization for new datasets created in the workspace.

    • If the default is Specified members, only specified users can use the dataset.

    • If the default is All workspace members (members with use permissions on datasets only), members in the workspace with use permissions for datasets can use the dataset.

    • If the default is Private, the Edit permission is set to private, meaning unauthorized users cannot edit.

    • If the default is All workspace members (members with edit permissions on data sources only), members in the workspace with edit permissions for data sources can edit the data source.

  • Use data sources: You can set the default to either All workspace members (members with use permissions on data sources only) or Specified members.

    Determines the default value of the Use permission in Collaborative Authorization for new data sources created in the workspace.

    • If the default is Specified members, only specified members can use the data source.

    • If the default is All workspace members (members with use permissions on data sources only), members in the workspace with use permissions for data sources can use the data source.

As a permission administrator, follow the instructions in the figure below to configure organization-level data permissions.image

Data works permissions

Controls whether the entry points for public access, sharing, and collaborative authorization are available in all workspaces within the organization.

  • Data works

    Data works include data portals, dashboards, spreadsheets, self-service data retrieval, ad hoc analysis, data displays, and data entry.

    • If you select Public and Authorizable, the Functional Permissions for a workspace will include the Data works can be made public and Data works can be authorized options.

      You can then decide whether to select Data works can be made public or Data works can be authorized for that workspace. For more information, see Create and manage a workspace.

    • If you clear the Public and Authorizable checkboxes, the Functional Permissions for a workspace will not include the Data works can be made public and Data works can be authorized options.

      In this case, resources in all workspaces within the organization cannot be made public, shared, or granted collaborative authorization.

  • Datasets

    • Authorizable: Enables collaborative authorization for datasets in all workspaces.

    • Enables the configuration of row-level and column-level security for datasets in all workspaces.

  • Data sources

    Authorizable: Enables collaborative authorization for data sources in all workspaces.

Default authorization duration

You can set the duration to 1 day, 3 days, 1 week, 1 month, or a custom duration.

Default authorization for workspace resources

Defines the default permissions for data works, datasets, and data sources in new workspaces.

Note

Data works include data portals, dashboards, spreadsheets, self-service data retrieval, ad hoc analysis, data displays, and data entry.

Use data sources

You can set different default values for different permission types.

Important

This setting only affects resources in new workspaces. It does not change permissions for resources in existing workspaces.

  • View and export data works: You can set the default to either All workspace members or Report owner only.

    Determines whether the By default, data works can be viewed by all members in the workspace option is selected by default in the functional permissions when you create a new workspace.

    • If the default value is All workspace members, this option is selected by default.

    • If the default value is Report owner only, this option is not selected by default.

    • If All workspace members is selected, data works in the workspace can be viewed and exported by all workspace members.

    • If Report owner only is selected, unauthorized users cannot view data works in the workspace.

  • Edit data works: You can set the default to either All workspace members (members with edit permissions on data works only) or Private.

    Determines the default value for the Edit permission in Collaborative Authorization for new data works created in the workspace.

    • If you select All workspace members (members with edit permissions on data works only), data works in the workspace can be edited by default by members who have edit permissions for data works.

    • If you select Private, data works in the workspace are private by default and cannot be edited by unauthorized members.

      To grant edit permissions for a data work, see Grant permissions on data works.

  • Edit datasets: You can set the default to either All workspace members (members with edit permissions on datasets only) or Private.

    Determines the default value for the Edit permission in Collaborative Authorization for new datasets created in the workspace.

    • If the default is Private, the Edit permission for new datasets is set to private by default.

    • If the default is All workspace members (members with edit permissions on datasets only), the Edit permission is granted to all eligible workspace members by default.

    • If you select All workspace members (members with edit permissions on datasets only), datasets in the workspace can be edited by default by all members who have edit permissions for datasets.

    • If you select Private, new datasets in the workspace are private by default and cannot be edited by other members.

      To grant edit permissions for a dataset, modify the edit permission property and grant authorization. For more information, see Grant edit permissions on datasets.

  • Use datasets: You can set the default to either All workspace members (members with use permissions on datasets only) or Specified members.

    Determines the default value for the Use permission in Collaborative Authorization for new datasets created in the workspace.

    • If the default is Specified members, the Use permission for new datasets is restricted to specified members by default.

    • If the default is All workspace members (members with use permissions on datasets only), the Use permission is granted to all eligible workspace members by default.

    • If you select All workspace members (members with use permissions on datasets only), then by default, datasets in the workspace can be used by all members with use permissions on datasets in that workspace.

      Data works include ad hoc analysis, dashboards, and spreadsheets.

    • If you select Specified members, new datasets can only be used by specified members by default.

      To grant use permissions for a dataset, see Grant use permissions on datasets.

  • Edit data sources: You can set the default to either All workspace members (members with edit permissions on data sources only) or Private.

    Determines the default value for the Edit permission in Collaborative Authorization for new data sources created in the workspace.

    • If the default is Private, the Edit permission for new data sources is set to private by default.

    • If the default is All workspace members (members with edit permissions on data sources only), the Edit permission is granted to all eligible workspace members by default.

    • If you select All workspace members (members with edit permissions on data sources only), then by default, data sources in the workspace can be edited by members who have edit permissions for data sources.

    • If you select Private, new data sources in the workspace are private by default and cannot be edited by other members.

      To grant edit permissions for a data source, see Grant permissions on data sources.

  • Use data sources: You can set the default to either All workspace members (members with use permissions on data sources only) or Specified members.

    Determines the default value for the Use permission in Collaborative Authorization for new data sources created in the workspace.

    • If the default is Specified members, the Use permission for new data sources is restricted to specified members by default.

    • If the default is All workspace members (members with use permissions on data sources only), the Use permission is granted to all eligible workspace members by default.

    • If you select All workspace members (members with use permissions on data sources only), then by default, data sources in the workspace can be used by members in that workspace who have use permissions for data sources.

      With use permissions on a data source, you can create datasets, create data preparations, and view table details.

    • If you select Specified members, new data sources can only be used by specified members by default.
