Drive and Photo Service:Online editing

This topic describes the online editing feature. You can use this feature to edit files in the cloud. The edited content is automatically saved to the cloud.

Supported formats

You can edit files of various formats online. The following table describes the supported file formats.

Features

Spreadsheet files

  1. Multi-user collaboration

    1. Multi-user editing: Multiple users can edit the same document at the same time in the document editing interface.image

    2. Restriction on the specified range of cells: Restrict editing specified range of cells in a spreadsheet file. This feature can be used in scenarios such as project progress management, regional data management, and warehouse management. image

    3. Collaboration records: In the Collaboration Record pane, you can view the historical operations that are performed by collaborators on the current spreadsheet file and the operation time. 表格协作记录

  2. Synchronous filtering

    1. Enable synchronous filtering: All collaborators see the same filtering results after a collaborator performs a filter operation. In addition, rows that are hidden due to filtering can be excluded from SUBTOTAL calculations.image

    2. Disable synchronous filtering: All collaborators independently perform filter operations.image

  3. Interlaced marking

    1. Specify a color to mark alternating rows in a worksheet for easy reading. This feature is available only in collaborative documents.image

  4. Smart fill

    1. The smart fill feature can fill in an active cell based on intelligent analysis of data in the adjacent columns and the column where the active cell is located. This feature can be used in scenarios such as extracting personal information. image

  5. Drop-down lists

    1. You can insert a drop-down list into the selected cell. This feature can be used in scenarios such as project management and statistics collection.image

  6. Comments

    1. Insert a comment into the selected cell. A red corner mark is displayed in a cell inserted with a comment. The comment is shown when you move the pointer over the cell. 表格评论

Text files

  1. Folder structure

    1. You can enable the full page feature to display all text, tables, and pictures in a text file on the same page. This feature is suitable for documents such as lists, schedules, and project plans. image

  2. Comments

    1. Add a comment to the selected text. The comment is displayed on the right side of the document. word评论

  3. Collaboration records

    1. In the Collaboration Record pane, view the historical operations that are performed by collaborators on the current text file and the operation time.word协作记录

Presentation files

  1. Master view

    1. You can set properties and insert content in the master. The master is applied to all slides that use the master. image

  2. Comments

    1. Add and view comments on slides. Each comment record displays the comment time, comment object, and comment content. This feature is suitable for scenarios such as online review in enterprises.评论

  3. Collaboration records

    1. In the Collaboration Record pane, view the historical operations that are performed by collaborators on the current presentation file and the operation time. 协作记录

Limits

  • Collaboration records of online editing are retained for 180 days.

  • Up to 365 users can collaboratively edit a file online. If the number of concurrent online users exceeds 50, page stuttering may occur.

  • Online editing is not available for documents larger than 500 MB. To edit such documents, you must download them to your local device.

Precautions

  • Before you edit an online file, make sure that you have the online editing permissions on the file. If you cannot edit the file, contact administrators to grant you permissions. For more information, see How to configure permissions.
