Resource Management:Set notification contacts for members

Create, bind, unbind, modify, and delete notification contacts for resource directory members.

Overview

Previously, each member of a resource directory had to configure and manage notification contacts individually in the Alibaba Cloud Message Center. This was repetitive and error-prone, and new members could miss important notifications due to misconfiguration.

Now, the resource directory is integrated with Message Center. A management account can centrally create and manage contacts, and then bind them to an entire resource directory, a specific folder, or a specific member.

When a contact is bound to a resource directory or a folder, the binding applies to all members within it. The following rules apply:

  • When a new member is added to the scope, the contact is automatically bound to the new member.

  • When a member is removed from the scope, the contact is not automatically unbound.

  • When a member is moved within the scope, for example, from Folder A to Folder B, the system first unbinds the contact inherited from Folder A and then binds the contact inherited from Folder B to the member.

    Important

    You cannot move a member if an unbind task is in progress for the member's parent folder. Wait for the task to complete before you move the member.

Limitations

  • You can create a maximum of 20 contacts in a resource directory.

    You can go to Quota Center to request a quota increase.

  • A contact can be bound to a maximum of 10 target objects (a root node, a folder, or a member).

  • You can send a maximum of 100 security email verification messages per day.

  • A maximum of 10 verification messages can be sent to the same email address within one minute.

  • Notification rules configured for a contact in a resource directory are synchronized one-way to Message Center. If a member modifies notification rules directly in Message Center, those changes are not synchronized back to the resource directory.

    For example, you bind two contacts, Alice and Tom, to Member A for financial notifications. If a user of Member A later removes Tom as a contact in Message Center, notifications for Member A are sent only to Alice. However, in the Resource Management console, both Alice and Tom still appear as bound contacts for Member A.

Create a contact

  1. Log on to the Resource Management console.

  2. In the navigation pane on the left, choose Resource Directory > Management.

  3. On the Resource Organization View, click the Contacts tab and then click Create Contact.

  4. In the Add Contact panel, configure the following information and click OK.

    • Contact Name: The name of the notification contact. The name must be 2 to 12 characters long and can contain Chinese characters and English letters.

    • Email Address: The email address used to receive notifications.

    • Title: We recommend that you specify the job title of the contact.

    • Message Type: We recommend selecting notification categories based on the contact's title. For example, for an O&M engineer, select only product, security, fault, and service notifications. The supported message categories and their descriptions are the same as those in Message Center. For more information, see Message Center.

  5. The contact must approve the verification message.

    The system automatically sends a verification message to the contact's Email Address. The contact must complete verification within seven days. Otherwise, you must send a new verification message.

    After verification succeeds, the contact's status changes to Valid.

Bind a contact

After a contact becomes active, you can bind it to the resource directory, a folder, or a member. You can do this from the contact list, the contact details page, or the folder details page. Once bound, the contact receives notifications for the corresponding members.

The following example shows how to perform this action from the contact list.

  1. On the Contacts tab, click Contacts.

  2. Find the target contact and click Bind in the Actions column.

  3. In the Select Objects panel, select a folder or member, and then click OK.

    • Root node: If you bind a contact to the root node, all members in the resource directory inherit the contact.

      In the Select Objects dialog box, select the root node of the resource directory, such as rd-i.

    • Folder: If you bind a contact to a folder, all members in the folder inherit the contact.

    • Member: Binds the contact to a specific member.

Unbind a contact

You can unbind a contact from a resource directory, folder, or member on the contact details page or the folder details page. After the contact is unbound, it stops receiving notifications for the corresponding members.

Note

If the contact you are unbinding is the only recipient for a message category for a specific member, the unbind operation succeeds in the resource directory, but the contact remains associated with that member to prevent important notifications from being missed.

The following example shows how to perform this action from the contact details page.

  1. On the Contacts tab, click Contacts.

  2. In the list, click the ID of the target contact.

  3. On the contact details page, in the Effective Scope section, find the target folder or member and click Unbind in the Actions column.

Modify a contact

You can modify a contact's Name, Email Address, Title, and Message Type as needed. The changes synchronize to all associated members.

  1. On the Contacts tab, click Contacts.

  2. Find the target contact and click Modify in the Actions column.

  3. In the Modify Contact panel, update the contact information and click OK.

    Changes to the contact's name, title, and message type take effect immediately.

    If you change the contact's Email Address, the new information requires re-verification. The new information takes effect only after verification succeeds. Until then, the system sends notifications to the previously verified Email Address.

Delete a contact

  1. On the Contacts tab, click Contacts.

  2. Find the target contact and click Delete in the Actions column.

  3. In the Delete Contact dialog box, confirm the details and click OK.

    • You can directly delete a contact that is not yet valid.

    • You can directly delete a contact that is not bound to any member.

    • To delete a bound contact, you must first decide whether to keep it associated with the bound members.

      • Still Receive Messages for Related Objects: The contact remains associated with the members and continues to receive their notifications.

      • No Longer Receive Messages for Related Objects: The contact is removed from the members and stops receiving their notifications.

        Important
        • If a contact is bound to a large number of members, the deletion process may take several minutes or longer. During this time, avoid modifying the contact information within the member accounts.

        • During the deletion process, if the contact is the only recipient for any message category for a specific member, the system retains the contact for that member to prevent important notifications from being missed.
