Expenses and Costs:Tax invoice management

Alibaba Cloud provides real-time invoices or monthly invoices based on your payment method. This topic describes how to obtain your invoices.

Get real-time or monthly invoices

If you pay by card or PayPal, you can get a real-time invoice. The system automatically generates a real-time invoice after each payment, which you can download at any time.

  1. Log on to the Expenses and Costs console and choose Payment Details.

  2. On the Paid tab, download the real-time invoice for your paid bills.

If you are a user with a credit limit, the system automatically generates a monthly invoice after billing your total monthly consumption. The system generates the previous month's invoice on the 6th of each month. The system automatically sends it to your registered email address, or you can download it from the invoice page.

  1. Log on to the Expenses and Costs console and go to Account Overview.

  2. In the Recent Documents section in the lower-right corner of the page, view and download your monthly invoices for the past three months.

  3. Alternatively, go to the Overview of Monthly Bill page to download invoices for settled monthly bills.

Note
  • If a refund is issued during the month, the system generates a Credit Note based on the refund order and amount.

  • To request an invoice reissue or offset, submit a ticket for support.

To send the monthly invoice to a different email address, you can configure the settings in the Message Center.

  1. Log on to the Message Center and click Basic Message Settings.

  2. In the upper-right corner, select Message Recipient Management. The list displays your registered email address by default.

  3. Click Add Message Recipient. In the dialog box that appears, enter the name, email address, and other information, then select the message types to receive. The system automatically sends a verification message to the entered email address. The new recipient becomes active after verification.

  4. Alternatively, return to the Basic Subscription Management page, switch to the Service Messages tab, find the invoice-related notification in the list, and click the Modify button on the right to add the new recipient.

Add tax ID information

In most countries and regions, businesses and individuals use one of four common Tax ID types:

Type

Description

Business Registration Number

A government-issued identification number for companies.

Identification Number

A government-issued identification number for citizens.

Tax Identification Number (TIN)

A taxpayer identification number issued by a tax authority.

SST/GST/VAT Registration Number

A tax authority-issued number for businesses registered for turnover tax.

If your country/region has tax requirements, go to the Tax ID Management page. Confirm your country/region and company name, enter your tax ID, and upload your tax certificate. We will then review your submission. For the legacy console, provide the information on the Tax ID Management page.

Important
  • Accurate tax information is crucial. Providing an incorrect Tax ID may result in additional taxes, penalties, or interest on Alibaba Cloud. We reserve the right to recover these costs from you.

  • If you do not provide a Tax ID, Alibaba Cloud will process your transactions as Business-to-Consumer (B2C). This may result in charges such as Value-Added Tax (VAT).

How tax is calculated

You can view tax information on different pages depending on which console you use: the Bill Details page for the legacy console, or the My Order and Overview of Monthly Bill pages for the new console.

Alibaba Cloud calculates the tax for each order or bill amount, rounds the result to two decimal places (to the nearest cent), then sums these individual tax amounts to determine the total tax. As a result, the total tax amount calculated by Alibaba Cloud may differ slightly from the amount you would calculate by multiplying the total pre-tax amount on your invoice by the tax rate.

For example, in the bill shown in the image below, the customer's registered location has a tax rate of 9%. Alibaba Cloud calculates the tax for each line item by multiplying the payable amount by the tax rate and rounding the result. These amounts are then summed to determine the final tax on the invoice.

For this customer, the tax amount on this month's invoice is USD 0.89 + 3.85 = 4.74.
