Accounts are the principals used in workspaces. Quick BI provides two types of workspaces: personal workspaces and group workspaces. The Basic edition supports only personal workspaces. The Pro edition and Enterprise Standard edition support both personal and group workspaces.

Group workspaces

A group workspace allows members of the workspace to collaborate on tasks. In a group workspace, each member is assigned a role to perform operations such as creating and modifying data objects. Data objects include data sources, datasets, workbooks, dashboards, and BI portals. Data objects exist in group workspaces. Data objects in a group workspace are isolated from data objects in other group workspaces.

On the Workspaces page, you can add organization members to group workspaces based on the scope of work and job responsibilities of these members.

You can create group workspaces based on the organization structure. One group workspace corresponds to one department. For example, after you log on as an organization administrator, you can create a group workspace named Sales for the sales department and another group workspace named HR for the HR department of the organization. Then, you can add the employees in the sales department to the Sales group workspace and the employees in the HR department to the HR group workspace.

Group workspaces are similar to DingTalk groups. Employees in the same department can use the DingTalk groups of the department to share files and communicate with each other.

Differences between a personal workspace and a group workspace

A personal workspace and a group workspace have the following differences:
  • The first time that a user logs on to the Quick BI console, a personal workspace is automatically created for the user. However, a group workspace is manually created by an organization administrator.
  • A personal workspace cannot be manually created or deleted.
  • A personal workspace cannot be transferred to another user and does not support collaboration.
  • A group workspace can be transferred between members in the same group workspace. Data objects in a group workspace can be shared among the members in the organization. Data objects in a personal workspace can be shared among Alibaba Cloud accounts.
