This topic describes how to create and manage the accounts of end users. This topic also describes how to assign cloud phones to the accounts of end users.
Alibaba Cloud Workspace Cloud Phone provides a control panel in the Singapore region. You can use the control panel of Cloud Phone to create and maintain the account information of end users in a centralized manner. All account information you created is stored and processed in the Singapore region.
Background information
User roles
The roles of Alibaba Cloud Workspace Cloud Phone users are classified into the following categories:
End users: individuals who access cloud phones from Alibaba Cloud Workspace terminals. Example: Jack, an operator from an advertising company.
Administrators: IT personnel who are responsible for resource purchase and renewal, resource creation and assignment, policy creation and binding, and end user management. Example: Steven, the IT administrator of the advertising company in which operator Jack works.
User account type
User accounts are categorized into the following types based on the activator:
User-activated: Administrators specify usernames and email addresses to create users. End users obtain logon credentials, such as initial passwords, from the specified email addresses and use the logon credentials to log on to Alibaba Cloud Workspace terminals. The first time end users log on to Alibaba Cloud Workspace terminals by using the usernames, end users are required to change the initial passwords to ensure security.
Administrator-activated: Administrators specify usernames and passwords to create users. The users are automatically activated after they are created. Then, the administrators forward the usernames and passwords to the intended end users. End users can directly use the passwords to log on to Alibaba Cloud Workspace terminals. You can specify a user-activated user as the user administrator. Then, information about administrator-activated users, including logon credentials and password reset notifications, is sent to the email address of the user administrator.
Create a user account
Alibaba Cloud Workspace Cloud Phone and Alibaba Cloud Workspace Elastic Desktop Service (EDS) Enterprise share the same user account system. You must go to the EDS Enterprise console to create and manage user accounts.
Log on to the EDS Enterprise console.
In the left-side navigation pane, choose .
On the Users & Organizations page, click the User tab and then click Create User. Select one of the following methods to create a user account:
Manually create a user
Click the Manual Entry tab.
Select a user account type based on your business requirements.
Valid values: User-activated and Administrator-activated.
Enter the account information based on the user type.
ImportantYou can notify end users by email address to send information, such as cloud phone assignment, logon information, initial passwords, or password reset links. Make sure that you specify the correct email addresses.
User-activated: Enter a username and an email address for the account that you want to create.
Administrator-activated: Enter a username and a password for the user account that you want to create.
(Optional) Configure the password validity period. By default, the password is permanently valid. You can enter a validity period that ranges from 30 to 365 days. When the password expires, you must change the password to log on to the user account.
NoteThis feature is in invitational preview. If you want to use the feature, submit a ticket.
(Conditionally optional) Specify a point in time at which you want to lock the user account of the administrator-activated type.
After the user account is locked, end users can no longer use this account to log on to Alibaba Cloud Workspace terminals.
Create multiple users at the same time
Click the Batch Entry tab.
Select a user account type based on your business requirements.
Valid values: User-activated and Administrator-activated.
(Optional) Configure the password validity period. By default, the password is permanently valid. You can enter a validity period that ranges from 30 to 365 days. When the password expires, you must change the password to log on to the user account.

(Conditionally optional) Specify a point in time at which you want to lock the user account of the administrator-activated type.
After the user account is locked, end users can no longer use this account to log on to Alibaba Cloud Workspace terminals.
Select one of the following methods to create a user information file:
Click Download to download a template for importing users. Open the template, enter the user information in the format required in the template, and then save the template.
NoteIf you want to create user-activated user accounts, specify the first column named
Usernameand the second column namedEmailin the template.If you want to create administrator-activated user accounts, specify the first column named
Usernameand the fourth column namedPasswordin the template.
Use Excel to open the template, enter the user information, and then save the template as a .csv file.
Click Upload Local File. In the dialog box that appears, select the file that contains the user information and complete the operations as prompted. Import the file. The system automatically imports the user information specified in the file.
After you import the file, a message indicating that users are created appears in the Create User panel. Click View Account to view information about the users. If you fail to import the file, check whether the user information in the file is in a valid format.
Click Close.
After you create the user accounts, you can view the user information on the User tab of the Users & Organizations page. If all user accounts are in the Normal state, the user accounts are created.
NoteThe system does not send notifications when user accounts are created. The system sends notifications to the specified email addresses only when you assign cloud phones to the user accounts.
Specify a user administrator
For user accounts of the administrator-activated type, you must forward usernames and passwords to end users offline. You can specify a user-activated user as the user administrator to receive notifications for logon passwords. This way, end users can obtain the passwords at the earliest opportunity.
Log on to the EDS Enterprise console.
In the left-side navigation pane, choose .
On the User tab of the Users & Organizations page, find the user-activated user that you want to assign as the user administrator.
In the Actions column, click Grant Administrator Permission. In the message that appears, click OK.
NoteIf the Grant Administrator Permission option is dimmed, the user is already a user administrator. If you still want to specify the user as the user administrator, you must revoke the existing administrator permissions from the user.
Assign a cloud phone to a user account
Log on to the Cloud Phone console.
In the left-side navigation pane, click Instance.
On the Instance page, find the cloud phone that you want to assign and click the ⋮ icon in the Actions column. In the menu that appears, click Assign User.
In the Available Users section of the Assign User panel, select a user account and click OK in the lower part of the panel.
NoteThen, click Go Now to go to the EDS Enterprise console and create a user account. After you create the user account, click the icon in the upper-right corner of the Available Users section.
After you complete the assignment, the logon credentials are sent to the email address of the user account.
(Optional) If you want to cancel the assignment, find the cloud phone whose assignment you want to revoke on the Instance page and click the ⋮ icon in the Actions column. In the menu that appears, click Unassign.
