Cloud Phone:Manage end user accounts

Create and manage end user accounts for cloud phones, then assign cloud phones to them.

Important

Cloud Phone has a centralized control plane in Singapore, which will be used to centrally manage the user account information you create and maintain on the console. The account information you create will be stored and processed in Singapore.

Background

User roles

Users of Cloud Phone fall into two roles:

  • end user: Uses a cloud phone through a client. For example, an operations team member at an advertising agency.

  • administrator: An IT staff member who purchases and renews resources, creates and assigns resources, creates and binds policies, and manages end users. For example, the IT administrator at the operations team member's company.

User account types

User accounts have two types based on activation method:

  • user-activated: The administrator sets a username and provides an email address. The user receives login credentials (including an initial password) at this email address. On first login, the user must set a new password.

  • administrator-activated: The administrator sets a username and password, and the account is activated immediately. The administrator shares these credentials with the user offline. The user can then log in without changing the password. You can designate a user-activated account as a user administrator. Once designated, all notifications for administrator-activated accounts (such as login information and password reset alerts) are sent to this user administrator's email address.

Create a user account

Cloud Phone and Elastic Desktop Service (EDS) Enterprise share a user account system. Therefore, you must use the EDS Enterprise console to create and manage user accounts.

  1. Log on to the Elastic Desktop Service Enterprise console.

  2. In the left-side navigation pane, choose Users > Users.

  3. On the User Management page, on the User tab, click Create User, and then select one of the following methods to create a user account.

    Manual entry

    1. Click the Manual Entry tab.

    2. Select the user account type as needed.

      Choose either User-activated or Administrator-activated.

    3. Enter the account information based on the selected account type.

      Important

      The end user's email address is used for notifications, such as cloud phone assignments, login information, the initial password, and password reset links. Ensure you enter a valid email address.

      • user-activated: Enter a username and an email address.

      • administrator-activated: Enter a username and password.

    4. (Optional) By default, a password never expires. You can set a validity period from 30 to 365 days. When the password expires, the user must reset it to log in again.

    5. (Optional) For an administrator-activated account, you can set an account lock time.

      When an account is locked, the end user cannot log on to the client.

    Batch entry

    1. Click the Batch Entry tab.

    2. Select the user account type as needed.

      Choose either User-activated or Administrator-activated.

    3. (Optional) By default, a password never expires. You can set a validity period from 30 to 365 days. When the password expires, the user must reset it to log in again.

    4. (Optional) For an administrator-activated account, you can set an account lock time.

      When an account is locked, the end user cannot log on to the client.

    5. Prepare the user information file in one of the following ways:

      • Click Download, open the template, enter the user information in the specified format, and save the file.

        Note
        • For user-activated accounts, the Username (first column) and Email (second column) fields are required.

        • For administrator-activated accounts, the Username (first column) and Password (fourth column) fields are required.

      • Enter user information in an Excel file and save it as a CSV file.

    6. Click Upload Local File, select the file containing the user information, and follow the on-screen prompts to import the user data.

      Once the import completes, the Create User panel displays a Created. message. Click View Account to view the import status for each user. If the import fails, verify that the file meets the format requirements.

  4. At the bottom of the panel, click Disabled.

    Note

    Notifications are sent to the user's email only after a cloud phone is assigned, not upon account creation.

Set a user administrator

For administrator-activated accounts, you must provide credentials to end users offline. To ensure timely password reset notifications, designate a user-activated account as a user administrator. This administrator then receives all password-related notifications for administrator-activated accounts.

  1. Log on to the Elastic Desktop Service Enterprise console.

  2. In the left-side navigation pane, choose Users > Users.

  3. On the User Management tab, find the User account you want to designate.

  4. In the Actions column, click Grant Administrator Permission, and then click OK in the confirmation dialog box.

    Note

    If the button is grayed out, a user administrator already exists. Revoke the existing administrator's permissions first.

Assign a cloud phone

  1. Log on to the Cloud Phone console.

  2. In the left-side navigation pane, choose Manage Resource > Instance.

  3. On the Instance page, find the cloud phone instance to assign. In the Actions column, click the ⋮ icon and select Assign User.

  4. In the Assign User panel, select a user account from the Available Users section, and then click OK.

    Note

    Click Go Now to go to the EDS Enterprise console and create a user account. After creation, click the refresh icon in the upper-right corner of the Available Users section.

    After the assignment succeeds, login credentials are sent to the user's email address.

  5. (Optional) To unassign a cloud phone, find it on the Instance page, click the ⋮ icon in its Actions column, and select Unassign.
