Dataphin:Create and manage standard documents

Dataphin allows you to upload, classify, and manage standard-related documents with ease, enabling relevant personnel to access the foundational elements, usage instructions, and other pertinent background information of each standard. This topic outlines the processes for creating and managing standard documents.

Permission description

Super administrators, data standard administrators, and users with custom global roles that include standard document management permissions are authorized to create and manage standard documents.

Usage instructions

  • The hierarchy of standard document directories is limited to 10 levels, with a maximum of 1000 directories across all levels.

  • A maximum of 5000 standard documents can be uploaded.

  • Associating standard documents with standards does not support cross-tenant publishing.

Standard document entry

  1. Navigate to the Dataphin home page, and single click on Administration > Standard from the top menu bar.

  2. In the left-side navigation pane, single click Document Of Standard to access the Document Of Standard list page.

View standard document list

The standard document list offers two display modes: directory view and tile view.

In directory view, you can explore the standard document directories and their respective documents in a step-by-step manner according to the attribute structure, which facilitates intuitive classification and retrieval.

The tile view displays all standard documents in a tile format, allowing for quick identification and batch processing of documents.

Description

① Filter and search area

  • In directory view, you can conduct a fuzzy search by the name of the directory or document; in tile view, you can search by the document's name or description.

  • Use the Filter feature to refine results based on the document's directory, creator, or object type.

② Function area

In directory view, you can create directories, expand or collapse all directories, switch views, and upload standard documents.

In tile view, you can switch views and upload standard documents.

  • Use Create Directory to establish a new directory for standard documents, specifying the directory name and parent directory.

    • For the Directory name, input a unique name within the same directory, ensuring it does not exceed 256 characters in length.

    • Select a Parent directory for the new directory or leave it unselected to create it as a top-level directory.

  • Expand Or Collapse All Directories: You can single click the expand all image..png or collapse all image..png icon to expand or collapse all levels of document directories.

  • The Switch View option allows you to toggle between directory and tile views.

  • Use Upload Standard Document to select and upload files from your local device.

You can execute various operations on directories or standard documents within the different views (directory view and tile view). Refer to the table below for details.

Within a specified directory, you can manage all subdirectories and their documents collectively, or focus on individual standard documents.

Operations such as create subdirectory, upload, move, edit, and delete are available for standard document directories; while preview, view standard, download, move, edit, and delete can be performed on standard documents.

Create a new directory within the 10-level hierarchy limit.

Edit Standard Document Directory

Alter the details of the standard document directory. The options are identical to those for directory creation.

Preview

Document preview is available only for PDF file types.

View Associated Standard

Examine the data standard information linked to the current standard document, including its name, directory, description, standard name, encoding, data standard set, and owner.

Upload

Choose files from your local device to upload to Dataphin. Click the Upload Standard Document button or the upload OperationimageUpload Standard Document icon in the column to initiate the upload in the dialog box.

  • For Directory, select the appropriate directory for the standard document. The directory will be pre-filled during upload if you are within a standard document directory; otherwise, it will default to the root directory if none is selected.

  • File: To upload a file from your local device, either single click the Select file button or drag and drop the file into the configuration box.

    After uploading the file, you may provide a description, limited to 256 characters in length.

    Note
    • A limit of 20 files can be uploaded simultaneously.

    • The size of an individual file must not exceed 20MB.

    • Accepted file formats include Doc (.doc, .docx, .dot, .dotx, .rtf, .html, .xml, .txt), Excel (.xls, .xlsx, .csv), PDF (.pdf), and PPT (.pptx, .ppt, .potx, .pot, .odp).

Download

Download files to your local device for offline access.

Edit Standard Document

Update the document's descriptive information.

Move

Move functionality is available for both standard documents and document directories. If no parent directory is specified, the item will default to the root directory.

Delete

Deleting a standard document will automatically remove its association with the data standard; deleting a standard document directory will remove the selected directory, its subdirectories, and all contained standard documents.
